Privacy Policy

When you attend Wordworks Speech and Language Therapy Service it will be necessary for me (Anna Gietl) to gather and store some information, or data about you and your child. This information is important to have so that I can provide you with the most appropriate service for your needs and is permitted by GDPR legislation under ‘legitimate interests’ (GDPR Article 6-1-f) and ‘provision of health or social care or treatment’ (GDPR Article 9-2-h).

When you or your child attend(s) Speech and Language Therapy Services with me, Anna Gietl, you will be asked to give explicit, written consent to allow me to collect and store your personal information and data. If, at any time, you wish to withdraw consent you may do so. If you are unsure of something or need clarification regarding consent or information I have about you please do not hesitate to ask. Explicit consent is consent which is freely given (whether verbally or written) and where the person has been adequately informed. It must be specific and can be withdrawn at any time.

Which data do I collect?

Anna Gietl, Speech and Language Therapist collects the following data:

Personal identification data such as:
  • Contact details of parents/guardians and children accessing the service (e.g. names, telephone numbers, email addresses and home addresses), Date of birth.
Case history information such as:
  • Name and contact details of other relevant healthcare and education professionals involved Details of family and parents/guardians
Medical and Healthcare details such as:
  • Relevant medical history details, information on developmental milestones, relevant reports from other healthcare professionals
SLT service data such as:
  • Clinical records (record of any telephone calls, texts or emails I have had with you), clinical notes on assessment and therapy sessions, assessment results and reports, and any audio or video files.
Business records such as:
  • Administrative record of services accessed by you financial records including invoices and receipts

How do I collect the information?

Personal details will be gathered directly from the parent/guardian of children or directly from adults attending the service. Financial information will be gathered directly from the bill-payer when payment for services is being made.

Where applicable, I may need to contact other professionals including; educational professionals such as school principals and teachers, Educational Psychologists, healthcare professionals such as GPs, Public Health Nurses, Occupational Therapists and Physiotherapists. Prior, specific consent will always be obtained from parents and guardians in these cases.

How will I use your data?

The information outlined above which I collect from you and other professionals will be used to inform on the assessment and therapy of your children (or you for adult clients). In addition, administrative and financial information will be used to keep business records for the operation of my business and for revenue.

Sharing data

I am bound by the confidentiality regulations of the governing bodies of Speech and Language Therapists, CORU and IASLT (Irish Association of Speech and Language Therapists). Therefore, information you share with me will remain confidential and will not be shared, except in the following circumstances:
  • Where you have given me specific prior consent to share information with other relevant professionals (such as your child’s teacher, healthcare professionals etc) in order to improve your care
  • Where there is a child protection or other safety concern. I will outline my Children First protection policy with you during our initial consultation.
  • Where I have been requested to share my financial information with Revenue, which may include your contact details.

How do I store and protect your data?

  • Data collected from you for clinical purposes will be stored either in paper form in a secure, locked filing cabinet, or digitally (e.g. in the case of audio and video files).
  • Data stored on the work mobile phone will be password protected and data stored digitally will be on an encrypted external hard-drive.
  • Financial and administrative data will be stored both digitally on an encrypted external harddrive and in paper form in a secure filing cabinet.
  • Data, whether physical or digital, is only accessible to Anna Gietl. Please note, Revenue may request access to financial data.

How long do I store information?

  • Clinical data will be stored for the duration of your engagement with the service. This data will be destroyed two years following discharge or last contact from you. Where you have made an initial contact or enquiry by phone or email, I will store these details in paper form for 6 months. Should you decide not to avail of the service within 6 months, this data will be securely destroyed.
  • Financial data will be stored for 6 years, in line with Revenue’s policies.
  • Please note financial data will include your contact details.

Your data protection rights

  • The right to access - You have the right to request copies of your personal data that I have gathered.
  • The right to rectification - You have the right to request that I correct any information I have gathered about you which is inaccurate.
  • The right to erasure - You have the right to request that I erase or delete your data under some circumstances
  • The right to object or restrict processing - You have the right to object to or request that I restrict the processing of your data under certain conditions
  • The right to data portability - You have the right to request that I transfer the data I have collected to another organisation, under certain conditions

You have the right to make any of these requests at any time, and if you make a request, I must respond to you within one month.
